They’ll help ensure your design prints beautifully on seed paper and keep your order moving smoothly through production.
- If your design prints to the edge, please add a 3 mm bleed. We see a lot of artwork arrive without one, and while we’ll always do our best to add it where possible, this can delay production. If we aren’t able to add a bleed on our end, we’ll let you know so you can resupply your artwork. If you’re unsure how to add it, we’re happy to help.
Prefer us to handle the creative work?
- Supply your event logo, images, and descriptive text. We’ll create artwork options based on our templates and send digital proofs for approval before production.
Designing in Canva?
Canva is a great tool for simple designs, but there are a few things to keep in mind to make sure your artwork prints correctly on seed paper.
1. Check your dimensions carefully
Canva’s preset sizes are often not the exact finished size needed for printing.
Please double‑check that your design matches the required dimensions including the 3 mm bleed. Incorrect sizing can cause trimming issues or require your artwork to be rebuilt.
2. Remove any unwanted background colours
Canva sometimes adds a very light background colour by default — even when it looks white on screen.
These faint backgrounds will print, and will be considered high ink coverage.
Make sure your background is set to true white (#FFFFFF) if you want a clean, unprinted surface.
3. Be mindful of image quality
Images pulled from Canva’s library or uploaded from the web can sometimes be low‑resolution.
For the best results, use high‑quality images and graphics so they print clearly on the textured surface.
4. We’re not Canva specialists
We’ll always do our best to help, but we’re not experts in editing Canva files.
Some Canva elements can’t be adjusted, exported cleanly, or separated for print setup.
If a file can’t be corrected on our end, we may ask you to update the design in Canva before we proceed.
5. Exporting your file
When your design is ready, please export it as a PDF Print with:
- Crop marks off (unless your file is already set up at the correct size with bleed)
- Bleed turned on
- Flattened PDF if Canva gives the option
You can personalise your event cards with custom name printing at a fixed rate. This rate applies to adding variable data to the FRONT only. Variable data can be added to the back in limited instances - please email for a quote.
Names and other variable details can be supplied in one of two ways:
OPTION 1 — Excel Spreadsheet (most common)
Paper‑Go‑Round will merge your variable data into the artwork for you. Once added, we’ll send a PDF proof with all names for your approval before printing.
Preparing your Excel file:
- Include only the data that needs to be printed — please remove any extra notes or unused columns.
- Place each type of information in its own column. For example:
Column A: First Name
Column B: Surname
Column C: Organisation
Column D: Job Title
- Data will be printed exactly as provided, so please double‑check spelling, grammar, and letter‑case (e.g., JOHN vs John).
- While we can re‑run the data if errors are found, it often creates delays in setting up your order for printing.
OPTION 2 — Names Provided Within Your Artwork
If you’re supplying your own custom artwork, names can be added directly into your design before sending it to us.
Artwork requirements:
- Artwork must be supplied as a print‑ready PDF with one page per name.
- Each page must be set up at the correct dimensions for the size ordered.
- If printing to the edge, please ensure a 3 mm bleed is added to all sides.
- Files must be ready for production — we’ll print exactly what you supply.
Supplying Names in Stages (optional)
If your event accepts registrations right up to the date:
- Provide the main list once artwork is approved so we can begin printing.
- A smaller final list can often be supplied the day before we post your cards.
- We recommend ordering a small quantity of blank cards for unexpected late attendees.
What is ink coverage?
Ink coverage refers to how much of your design is filled with printed colour. For seed paper, we recommend keeping ink coverage to 50% or less. Lower coverage supports healthy seed germination, preserves the natural texture of the paper, and produces cleaner, more consistent print results. It’s also more economical than printing heavy, saturated designs.
All our standard pricing is based on artwork that requires low to medium ink coverage (under 50%).
How do I determine ink coverage?
A simple visual check is usually the best guide. Ask yourself:
- Is most of the page covered in ink?
- Does my design use a full‑colour background?
- Are there large blocks of solid colour?
- Does the artwork include photographs?
If you answer yes to any of these, your artwork likely requires high ink coverage. We can print high‑coverage designs, but it’s important to note that saturating the paper with ink may reduce seed germination.
Printing on both sides
If you’re printing double‑sided, only one side can have high ink coverage. The reverse side must remain very low coverage to allow for better seed viability and print quality.
To keep everything running smoothly, we recommend starting your order around 2 weeks before your event.
Artwork & Proofing (2–4 business days)
This is often the longest stage, with a little back‑and‑forth to ensure your design prints beautifully on seed paper.
Production (2–3 business days)
Once artwork is signed off, we’ll add names (if required), print, and trim your cards ready for posting.
Shipping (2–3 business days)
Express post time once your order leaves our studio.
Depending on quantity, artwork complexity, your location, and our current production capacity, we may be able to fast‑track urgent orders.
FAQs
If preparing your own artwork, planting instructions should be included in your design.
This can be removed if you are planning to communicate seed type and planting instructions elsewhere.
We have recently started printing names in two print runs.
The first print run should include the bulk of your names. This should be supplied at least 3 business days before we need to post your cards.
The second (and final) print run is for any late notice additional names. This is for up to around 20 names and can be supplied the day before we are due to post your cards. These names should be supplied in a separate excel file with ONLY the extra names.
If the artwork allows, we will often add a few blank cards as a complimentary extra.
However, if you require a specific quantity of blank cards, this should be included in your ordered amount. After all names have been supplied and printed, we will print any remaining cards as blanks to fulfil the total quantity ordered.
Yes, however we may need you to provide the font file if we don't already have it.
